Terms and Conditions

In celebration of the International Year of the Reef (IYOR) 2008, Reef Check Foundation (RCF) is holding the “Year of the Reef” Singing Contest on Video with the goal of engaging as many young people as possible in learning about the marine environment.

The contest consists of creating a Video (Video Entry, Entry) of young people singing the Year of the Reef Song. Participants must be 18 or younger by entry date, and must form a Group of three or more that is part of an entity such as a school, club, church, temple, organization, etc. An adult should be nominated Group Coordinator (GC) to represent the Group throughout the duration of the contest.

Prizes for winning Videos will be sent to the GC. The GC will be asked to identify a project on which the cash prize will be spent if the Entry is chosen as a winner. The purpose of these cash prizes is to help finance projects or activities that educate young people about the marine environment; young people in the corresponding winning Videos must participate in and benefit from such activities.

EVERY PERSON WHO APPEARS IN A VIDEO MUST SIGN A RELEASE FORM. IN THE CASE OF A MINOR, A PARENT OR GUARDIAN MUST SIGN. THE GC WILL BE RESPONSIBLE FOR COLLECTING AND SENDING THE SIGNED FORMS TO RCF UPON REQUEST.

The Owner of the contest is RCF, a California registered 501(c)(3) non-profit organization.

Eligibility: This contest is open to people from all countries and territories, except employees of RCF, ReefLab and Body Glove, and their families. RCF, its affiliated companies, representatives, agents or employees are not responsible for, and shall be indemnified by the prize winner and entrants against any claims, injuries, losses or damages of any kind resulting from acceptance, use, misuse, possession, or loss of the prize and from any and all use of the video entries.

How to submit a video: The first step is to create a RCF account. Log on to www.reefcheck.org between September 15 and December 31, 2008. Follow the onscreen instructions to enter and upload your video Entry.

You can submit your video in two ways:

  • Upload video with a maximum size of 100 MB to the RCF Website using your internet browser.
  • Mail CD or DVD to RCF Headquarters. If you decide to use this method, you must first indicate on your RCF account that you are mailing your Entry, obtain a reference number, and include this number in the envelope with your disc. To obtain your reference number log on to www.reefcheck.org, click on submit video; enter the names of the group members, check the airmail option, and click submit. The reference number will appear next on the confirmation page.

Suggested donation: This contest is free to enter. However, RCF suggests that participants donate US$10.00 to help support the development and promotion of this contest and RCF conservation programs. Donations can be made through the secure link on the www.reefcheck.org website. Judging of the contest will not be affected by donation amount.

Number of submissions: Each group may submit one video to the contest and each Entry must meet the requirements below.

Entry must meet all of the following requirements or it will be disqualified.
You must abide by these Terms and Conditions. RCF reserves the right to prescreen, monitor, and remove entries, at its discretion.

  • Registration: Each GC must register for an RCF account, must have a valid e-mail address, maintain full contact details for the duration of the contest, and comply with these Terms and Conditions to enter the contest.

The GC will be asked to submit the names of the group members she/he represents. In case of dispute as to identity of the winners, entry will be declared by the group members originally registered by the GC (meeting eligibility criteria) on the RCF account. If a prize is won, it will be awarded to that registered group. Entries generated by a script, macro or other automated means will be disqualified.

  • Music: Your group has two options:
    • Another is for the group to create their own version of the song using musical instruments and incorporating local rhythms and musical arrangements.

    Note: Group members are required to sing the lyrics; you may only use the instrumental version of the song, not the versions that include vocals.

  • File Format: We prefer you record in .avi format at a resolution of 320 x 240 pixels if possible. Other acceptable formats are .mov, .wmv or .mpg, mp4 and the file size must not exceed 100MB.

NOTE: Although technical video quality will not be judged, we encourage advanced users to film using a higher resolution and decrease the file size to 100 MB maximum for submission. RCF may use available high resolution winning videos in reef conservation projects.

  • Length: The maximum length of the performance should be four minutes.
  • Language: We encourage participants to translate the lyrics and sing in their native language or dialect, or to combine more than one language/dialect.
  • Copyrights: Entry must not violate third-party rights including, but not limited to copyrights, including music copyrights, trademark, and right of publicity. Sponsor logos may be shown.
  • Originality: Entry must be original, unpublished, and the sole property of the submitter.
  • Content: Entry must not include unsuitable content, depict or incorporate: unsafe behavior or situations, obscenity, mocking of any product or person, or other offensive conduct or material, or otherwise include inappropriate content. RCF reserves the right to remove your entry from consideration in the contest.
  • Participant’s permission: The person whose email is entered when the video is submitted will be identified as the Registered Video Owner and Group Coordinator. This person must be over 18 years of age and must have written permission from any identifiable person who appears in, is heard in, or otherwise contributed to the video entry, or anyone who has allowed the use of her/his name, likeness, or voice in the video entry.
  • Release Form: The Registered Video Owner (GC) must have each participant sign the "Participant Release" form. Participants younger than 18 years old must have a parent or legal guardian sign the form. RCF reserves the right to ask the GC to provide these signed forms.

Copyright: By submitting a video you agree that RCF has the unrestricted right to: use your Entry in whole or in part, commercially or non-commercially, in any media known or unknown, in perpetuity, worldwide, including the right to publish and display the video entry for advertising and publicity, and to edit and make derivative works, all without additional review or compensation. Additionally, you agree that RCF may post your entry on its Websites, YouTube, Body Glove’s website, and/or on third-party sites. RCF will use its best endeavors to acknowledge the copyright bearer(s) on any material on which the video is used unless agreed otherwise. You and those featured agree that by submitting this video, you relinquish all rights, as outlined herein, and the video, its characters and content becomes the property of RCF.

Legal requirements: Video production should follow local laws. If required, proper permits should be obtained for shooting your video on location.

Online voting and shortlisting: The public will judge the videos using our online voting system from January 21, 2009 - March 20, 2009. Their votes will serve to select the top ten videos. Persons who wish to vote must register for a RCF account; registration is free. Only one vote is permissible per video.

Judging: Using the following criteria, judges appointed by RCF will select the winners from the top ten videos chosen by the public:

  • 50% Originality, creativity, and cultural representation
  • 50% Quality of the performance

All winning videos are subject to verification of entry requirements. Winners will be announced on the Singing Contest Website and notified via email on April 10, 2009. In the event of a tie, the judges and RCF will determine the winner based on the criteria above.
RCF’s decision on all matters relating to the contest is final, and no correspondence will be entered into concerning the contest's judging. Should the quality of entries fall below the standard required, RCF reserves the right to not award all prizes.
Prizes:

  • First place - One US $1000 prize
  • Second place - One US $600 prize
  • Third place - One US $400 prizee

Prizes for winning videos will be sent to the GC to help finance an educational activity, event or project that engages young people, including all participants in the Winning Video, in marine conservation (e.g. visit to the aquarium, or beach). The GC must provide the signed release forms for all participants.

Other conditions: Sponsor assumes no responsibility for computer system, phone line, hardware, software or program malfunctions or other errors, failures of any kinds, delayed computer transmissions or network connections of human or technical nature.

RCF reserves the right in its sole discretion to cancel or suspend this Contest in its entirety. RCF is not responsible for incorrect or inaccurate entry information whether caused by Internet users or by any of the equipment or programming associated with, or utilized in the Contest by any technical or human errors, which may occur in the processing of the entries in the Contest. RCF reserves the right at its sole discretion to disqualify any individual it finds to be altering the entry process or the operation of the Contest or Website, or to be acting in violation of the Official Terms and Conditions.

RCF is not responsible for entries, releases or other required filings, whether electronic, disk or paper and however submitted to RCF or its agents, that are illegible, late, tampered with, forged, incomplete, misdirected, lost, misplaced, stolen, destroyed or otherwise not in compliance with these Terms and Conditions, and all such entries will be disqualified.

Privacy: Contest entry requires registration at www.reefcheck.org, which will be collecting personally identifiable information, such as name, and e-mail address. By entering the Contest, you agree to the RCF Privacy Policy, located at: http://www.reefcheck.org.
